Minutes

 

1.       Theme, date, locations

a.       Arts and Crafts in new fire station or school?

The committee discussed pros and cons of each location.  The location of the arts and crafts show depends on Christina’s preference, as the person responsible for the event, and whether or not the new fire station is ready by April.  The issue will be discussed again later.

 

2.       Financial Report/Fundraising

a.       New bank account

A new bank account has been opened but Christina Weir has not yet signed a signature card.

b.      Fundraising letters

Fundraising letters have been sent out.  A few donations have already come in.  Debbie King will send thank you notes and follow up letters.

 

3.       Established events

a.       Enchilada dinner

We are unsure if the Catholic Daughters are going to do the enchilada dinner.  We will ask Christina.

b.      Museum

Someone will ask Betty Becerra and Lois Jean Wiggins if they want to sit at the museum.

c.       Bingo

Dan will ask Angelica if she will do bingo.

d.      Shuttle

Someone will ask Ritchie if he will do the shuttle.

 

4.       New events

a.       Quilt show

A quilt show will be added to the schedule of events.  We will ask Shauna Pilley or Pam Collins if she will run it.  If not, other committee members will handle it.

b.      Car show

Megan’s cousin will do a car show.  She will coordinate the details with him. 

c.       Petting zoo

No one really knows of anyone who is willing to do a petting zoo.

d.      1962 Reunion

Someone will contact Jane Gates again to finalize/clarify reunion plans.

 

5.       Entry forms and information sheets

A quilt contest application and food contest application need to be added to website.

b.      Send information sheets to Dan and Becky

Someone will ask Ashlie Munoz if she wants to help in some way, maybe be running a youth basketball tournament.

Mr. Starkey would like to pay for a fireworks display.

The Hagerman VFD will be celebrating 100 years.  HagermanForward and the Old Timers’ Assocation will work together to pay for a plaque and some kind of gift for the volunteers.  The volunteers will be honored during the opening ceremony.

A carnival or animal show would be fun.  Committee members will try to get information about bringing a carnival in.

Vendors and events will participate in a “passport” game for attendees.  Attendees with full passports will be able to entry a drawing.

Minutes

 

1.       Theme, date, locations

The theme was chosen at the follow-up meeting in Spring 2010:  Hagerman Will Always Be Home. The date was also chosen in 2010:  April 21, 2012.  Because there are two reunions going on at the same time, space around town will be limited.  So, the arts and crafts show will be held somewhere else this year, such as the new fire station or the school gym or cafeteria.  The reunion groups can use the community center.  Dan Jennings will take a look at the fire station to see if it’s big enough.  Vi Babcock will ask the city’s permission to use the space.  All other events will be in the same places as before.

 

2.       Financial Report/Fundraising

Vi Babcock gave the financial report.  We have $3,799.12. $500.00 has been set aside for the Christmas light contests (2011 and 2012). 

 

Debbie King will take over the responsibility of fundraising letters and thank you notes.

 

Old Timers’ Day will no longer work under the umbrella of the Town of Hagerman.  Old Timers’ Association members voted to partner with and work under the protection of Hagerman Forward.  Dan Jennings and Vi Babcock will close the old Wells Fargo Old Timers’ Association checking account and open an account at Hagerman National Bank.  The account will have three signers—Vi Babcock, Dan Jennings, and Christina Weir.  Two of the three will be required to sign checks.

 

3.       Established events

All of the established events were successful last year.  For the most part, we want to do the same things in 2012.  See list below.

 

4.       New events

Any new event would be welcomed as long as we can find a volunteer to run the event.  Association members will ask friends, neighbors, and other community members to consider volunteering.  Megan will contact some people about a car show.  Chris Villa may also be able to help organize a car show.  We will ask the Lion’s Club to become more involved.

 

5.       Schedule of Events/Map

The schedule will stay the same.  The map will basically stay the same, except that the arts and crafts show is moving.  Jason Sweatfield will make large signs to mark event locations.

 

6.       Entry forms and information sheets

Entry forms and information sheets from 2010 will be reused.  Dan will post them online.

 

7.       Prizes & other needs

The Association will pay for prizes and supplies.  Volunteers just need to let the book keeper know what they need.

 

8.       Advertising

Dan has created or provided several methods for us to communicate and advertise.

10.   Association Shirts

Association members didn’t really see a need to order different shirts at this time.  The topic can be discussed later.

We will continue to update the contact list.  The email addresses in our online address book need to be edited.

 

12.   Christmas light contest (OTD), Christmas in Hagerman (Town of Hag), Giving Tree (Town of Hag), and Christmas Market (HF)

The Christmas light contest will be Dec 9 and 10.  Hannah will choose anonymous judges again.  Prizes will be the same.

 

The Christmas Market sponsored by Hagerman Forward will be December 10. 

 

Christmas in Hagerman and the Giving Tree will be December 17.

 

13.   Next meeting

The next meeting will be October 30 at 4:30 pm in the board room.

Established Events/Responsibilities

Outhouse race – Tori Rodriguez

We will ask Tori to run the race again.  Megan said Tori was planning on it.

Dance – Hannah Sweatfield

Hannah will continue to run the dance.  She will make arrangements for the stage.  Grupo Maldad has already been hired.

FFA Breakfast – Jesus Trujillo

We will ask Jesus to do the pancake breakfast again.  We think he is planning on it.

Parade – Hannah Sweatfield and Jim Hollmann

Hannah doesn’t want to run the parade again, but will if no one else wants to.  We will look for a volunteer.  The committee chose Cliff and Viola Martinez as the 2012 parade grand marshals

Arts and Crafts – Christina Weir

Christina will continue to run the arts and crafts show.

Catholic Daughters Enchiladas – Christina Weir

Christina will ask the Catholic Daughters if they still want to run the arts and crafts show concession stand.

All day entertainment and talent show – Judy DeLaRosa

Judy will continue to run the all day entertainment and talent show.  She will be responsible for arranging all stage entertainment.

Fundraising letters –

Debbie King will mail fundraising letters and thank you notes.

Golf and other children’s activities – Megan DeLaRosa

Megan will continue to coordinate kids’ games.  Megan will try to get the school groups involved in kids’ games.  She will ask Valley Rascals and Hagerman FFA to consider a petting zoo.

Information Table –

The information table may not be manned.  If a volunteer wants to do it, he or she can.  If not, it will become a self serve information booth.

Public safety and road closure – Cass Mason

Hagerman PD and FD will continue to take care of public safety and road closure.

Museum – Betty Becerra

We will ask Betty Becerra and Janie Wiggins to monitor the museum.

Bingo – high school student council

We will ask Angelica Chavez to sponsor bingo

School Tours—Steve Starkey

We will ask Steve to conduct school tours again.

Vendors—Hannah Sweatfield

Hannah will continue to book vendors.

Multi Year Reunion—Clayton Martin

According to Facebook posts, Clayton and his friends are planning a multi-year reunion again.  Dan will try to contact them.

Class of 1962 Reunion—Jane Gates

Jane Gates and Linda Menefee Jones are apparently in charge of the reunion.  We don’t know much about their plans.  Dan Jennings will try to contact them.

Fun Run/Walk – Jarred Hestand

Jarred had previously said he would do the fun run again.  We will ask him to make sure.

Master of Ceremonies –

Chris Villa told Dan he would be the MC.

Star Spangled Banner –

We will ask Mariah Brown to sing.

Food Contest – Dan Jennings

Dan will do the food contest again, but will probably make some changes.

Horse Shoe Tournament – Tommy Dunnahoo

We will ask OJ Medrano if he wants to run the horse shoe tournament.  The location will probably have to change because of the air conditioner on the side of the new fire station.

Shuttle –

The shuttle is not necessary.  If the Vets want to run the shuttle again they can.  We may ask Ritchie Wilson if he will run a hay-ride style shuttle.

Advertising – Rebecca Jennings

Becky will continue to handle advertising.

Money – Beverly West

Vi will handle money.

Scholarship/grant – Hannah Sweatfield

Hannah will continue to do the scholarship and grant.  The Association members voted to give one $500 award to a current Hagerman student, one $500 award to a permanent Hagerman resident attending college now, and one $500 award to a community organization.  The requirements will stay the same.

Map/vendor, event, & booth placement – Hannah Sweatfield

Hannah will continue to handle the map and vendor, booth, and event placement.
